Tasks Module User Guide
The Tasks module in FactoryQA helps you manage and track corrective actions, preventive actions, and other quality-related tasks. This module provides a centralized location to assign tasks, set due dates, monitor progress, and ensure timely completion.
Accessing the Tasks Module:
Navigate to the Tasks module by clicking the "Tasks" icon in the main navigation menu.
Key Features:
- Task Creation: Create new tasks with detailed descriptions, assigned personnel, due dates, priorities, and related documents.
- Task Assignment: Assign tasks to specific individuals or teams within your organization.
- Task Tracking: Monitor the progress of tasks through various stages, from "Open" to "Completed." Visual dashboards and reports provide an overview of all active and completed tasks.
- Collaboration: Facilitate communication and collaboration by adding comments, attachments, and updates to tasks.
- Reporting and Analytics: Generate reports on task completion rates, turnaround times, and other key metrics to identify areas for improvement.
- Integration with other Modules: Seamlessly integrate tasks with other FactoryQA modules, such as Nonconformance Management and Audit Management, to connect quality issues with corresponding actions.
Creating a New Task:
- Click the "Create Task" button.
- Fill in the required fields:
- Task Title: A brief, descriptive title for the task.
- Description: Detailed instructions and information about the task.
- Assignee: The individual or team responsible for completing the task.
- Due Date: The date by which the task should be completed.
- Priority: The level of urgency for the task (e.g., High, Medium, Low).
- Category (Optional): Categorize tasks for better organization (e.g., CAPA, Audit Finding, Process Improvement).
- Related Documents (Optional): Attach relevant files, such as procedures, work instructions, or images.
- Click "Save" to create the task.
Managing Existing Tasks:
- Viewing Tasks: View all assigned tasks in a list view or Kanban board view. Filter and sort tasks by various criteria, such as due date, assignee, and status.
- Updating Tasks: Edit task details, add comments, change the assignee, adjust the due date, or update the status as needed.
- Completing Tasks: Mark tasks as "Completed" once all required actions have been taken. You may be required to provide evidence of completion, such as a description of the actions taken or attached files.
- Searching Tasks: Use the search bar to quickly find specific tasks by keyword, task title, or other criteria.
Working with Task Comments and Attachments:
- Adding Comments: Add comments to tasks to communicate with the assignee, provide feedback, or share updates.
- Adding Attachments: Attach relevant files to tasks to provide supporting documentation or evidence of completion.
Reporting and Analytics:
- Generating Reports: Generate reports on task performance, such as task completion rates, average turnaround times, and overdue tasks.
Best Practices:
- Clearly Define Tasks: Provide detailed descriptions and specific instructions for each task to avoid ambiguity.
- Set Realistic Due Dates: Consider the complexity of the task and the availability of resources when setting due dates.
- Regularly Monitor Progress: Track the progress of tasks and provide support to assignees as needed.
- Communicate Effectively: Use the comments section to communicate with assignees and stakeholders about task updates and any roadblocks.
- Utilize Reporting Features: Leverage the reporting features to identify trends and areas for improvement in task management.
