Documents Module User Guide

The Documents module in FactoryQA is your central repository for managing all controlled documents related to your quality management system (QMS). This module ensures that everyone has access to the most up-to-date versions of critical documents, streamlining processes and improving compliance.

Accessing the Documents Module

You can access the Documents module by clicking the "Documents" icon in the main navigation menu. Depending on your user permissions, you may have different levels of access within the module (e.g., view-only, edit, approve).

Key Features

The Documents module offers the following key features:

  • Document Upload and Storage: Upload various document types (e.g., PDFs, Word documents, Excel spreadsheets, images) and store them securely within the system. FactoryQA supports version control, ensuring a clear history of document revisions.
  • Folder Organization: Organize your documents into folders and subfolders for easy navigation and retrieval. This allows you to structure your document library according to your specific needs (e.g., by department, process, or document type).

Using the Documents Module: A Step-by-Step Guide

1. Uploading a Document:

  • Navigate to the appropriate folder.
  • Click the "Upload" button.
  • Select the document from your computer.
  • Enter the required metadata (e.g., document title, description, version number).
  • Click "Save."

2. Creating a New Folder:

  • Navigate to the parent folder where you want to create the new folder.
  • Click the "New Folder" button.
  • Enter the folder name.
  • Click "Create."

3. Approving a Document:

  • Open the document that requires approval.
  • Review the document content.
  • Click the "Approve" button (if you have the necessary permissions).
  • Add any comments or feedback.
  • Click "Submit."

4. Searching for a Document:

  • Enter your search terms in the search bar.
  • Click "Search."
  • Review the search results and select the desired document.

5. Viewing a Document's Version History:

  • Open the document.
  • Click the "Version History" tab.
  • View the list of previous versions.
  • Click on a specific version to view its content.
